Office Coordinator

Job description

The Office Coordinator is the glue of the ResTek staff. He or she sets up all staff meetings, makes sure everyone submits their time sheets on time, and has a feel for the morale of the staff.

Responsibilities

  • Email a reminder to staff to submit time sheets before they are due
  • Track the 300 hour pay raises and prepare the pay raise memos
  • Processes the employment paperwork for new employees
  • Conduct new employee orientation and guide new employees through their training obligations
  • Touch base with staff to assure that each individual staff member is receiving the training they need in order to be successful
  • Coordinate staff schedules, equipment reservations, and room reservations for staff meetings, town meetings, staff training, etc.
  • Assist to determine the topics for staff meetings and coordinate the details to make each staff meeting successful
  • Take minutes at the meetings and make them available to the staff via the internal staff website
  • Answer ResTek phones and info@restek.wwu.edu email inquiries
  • Work with the Lab Coordinator with regard to office supply purchases
  • Restock the office with necessary supplies
  • Keep the staff contact list up to date
  • Update the staff wallet card with contact info and other useful information for when staff don’t have access to a computer
  • Keep the office organized by creating folders for each staff member in the filing cabinet and by educating staff about where supplies go

Terms of position and training

Training for the position is available. The position is for an academic year (September to 2006) and is designed to average 15-19 hours a week.

Salary and reportage

The current base salary is $7.50 per hour for both work-study and non-work-study. The Office Coordinator reports directly to the ResTek Program Coordinator.

Qualifications

  • Strong organization and communication (both verbal and written) skills
  • An eye for details
  • Ability to see small jobs through to completion
  • Comfortable with Macintosh, Windows, or Linux operating systems
  • Desire to learn more in the realm of ResTek and technology
  • Experience with Internet connection software (e.g. ssh)
  • Must maintain a minimum of 10 credits per quarter for undergraduates or 8 credits for graduates for the entire duration of employment
  • Must maintain a 2.0 cumulative GPA
